What is SAP Payroll?

A Payroll is a system used to calculate the wages and salary of both permanent and temporary staff of an organization. Processing of employee payroll is one of the fundamental functions of HR in any organization or business environment.

SAP Payroll is one of the major modules found in SAP Human Capital Management. SAP Payroll is used to determine the payment for each employee in an organization with respect to the work that is carried out by him.

The SAP Payroll Software is not only made up of remuneration part but it also includes other benefits that any business or organization has to provide for the employee welfare according to the company laws in a particular country.

The SAP Payroll System manages and handles the gross and net pay of an organization, which also includes the payments and deductions calculated while processing payroll for an employee. The system calculates the total amount and all deductions while processing the payment by using different wage types. Once the processing of the payroll is complete, the system carries out different consequent activities.

A Payroll System takes in data that are related to payroll from the system. In the case of an off-cycle payroll, the system removes the internal table and imports the previous payroll result. The shift schedule, gross wage, and compensation together with the valuation bases are determined in the system and the master data that is relevant to this payroll is summed up in the calculation.

The next step after the step above is to calculate the partial period factors, the salary elements, and to find out the gross results. Finally, in the last process, the system calculates the net remuneration and carries out the accounting in case there is any change in the master data gotten from a previously processed payroll.

Once this payroll run is completed, the results are then transferred to the Finance Accounting and evaluation section. After this, the posting is then carried out for the corresponding cost centers.

Components of SAP Payroll

1. Payroll Control Record: This is used to run the payroll process in the HR system. Payroll Control record is used to lock the master data during the payroll run and thus lock the changes during payroll processing. You have to set up a Payroll control record manually for each part of the payroll run.

2. Payscale Reclassification: A pay scale reclassification involves moving an employee to a new pay scale group and to a different pay scale level. In this case, an employee receives the remuneration for the new pay level assignment. A pay scale reclassification is performed in a payroll period prior to running the payroll. The pay scale reclassification must always take place before the standard pay increase.

3. Payscale Structure: This is used to define a geographical area where a collective agreement is valid. The geographical area is determined by the size of the pay scale area. The pay scale type is used to define the area of economic activity for which an agreement is valid. The geographical area in which it is valid is applied to the full company.

4. Payscale Group And Level: A Payscale Group and pay scale levels are used to define the criteria to classify data for job evaluations and indirect valuations. Each pay scale group is further divided into pay scale levels.

5. Primary Wage Type: Primary wage type is defined as a wage type for which data is entered in Infotype. Primary wage types are created by copying model wage types provided by SAP. This is further divided into Time Wage Type, Dialogue Wage Type, Secondary Wage Type.
